If you had the opportunity to attend the August Leadership training, you can find samples of resources discussed. Click the links below to download, save and edit as needed, or get a better idea of what will work best for your particular unit.
- Don't forget to email a receipt for donations, either monetary or tangible items. It's a great way to show how valuable donor support is to your PTA (and if the value is over $75, a receipt is required per IRS guidelines).
- Use a voucher system for all monies in and out of your PTA. Create a Check Request/Reimbursement form and an Event Revenue form for your members to use. This helps create an audit trail, which you will need at the end of the year.
- Budget for unit insurance! Unit Presidents received renewal forms from R.V. Nuccio, and units are encouraged to check the coverage and cost of AIM Insurance for PTAs. (Information on AIM is forthcoming.) This insurance is vital to units to protect officers from liability and provide coverage in the event of an accident at a PTA-sponsored event. Make sure your officers have a copy of the insurance policy, and consider sending it to your committee chairs. As soon as I have the renewal form, it will be posted here (check back tomorrow).
- You can find a sample budget and monthly report here, along with a spreadsheet for tracking all of your unit finances. Edit as needed if you'd like to use something similar for your bookkeeping.

It’s easy to enter members into Just Between Friends. There are three methods: member self-entry, individual manual entry, and spreadsheet upload. Once your members are entered, it’s time to begin communicating with them. Just Between Friends has an email template library for you to choose from. When sending emails, you can attach files of the most popular formats. And when you send notices or deadlines, the system will send automatic reminders – all at no cost to your unit!
